Heard & Built

Advice from someone who has run the operation.

Every engagement starts with listening. We learn how you win work, how it gets delivered and where it gets stuck, then tell you plainly what to fix first, what to keep, and what is not worth building.

  • Twenty years running operations teams
  • Advice you can act on the same week
  • Delivered alongside the work, not instead of it

How we listen

Before anything is built, we sit with you and the people who do the work.

  1. How do you win work today? Where buyers find you, what they ask before they call, and how fast they hear back.
  2. How does a job get done? Every step from inquiry to invoice, and every tool and spreadsheet it passes through.
  3. Where does time or money leak? Retyping, chasing, lost emails, unbilled hours, late payments.
  4. What already works? We keep it. Good software you already pay for stays.
  5. What would change your year? The two or three things worth doing first, in writing, with a price.

What our consulting has looked like

Real examples from client work, delivered alongside the websites and software.

Growth

A go-to-market plan for a specialist fintech

For a firm whose buyers number a few hundred people, we mapped the industry forums and working groups where they gather, ranked partnerships by realistic odds, advised against paid ads that would have been wasted on a tiny audience, and laid out a 30, 60 and 90 day plan with an owner for every step.

Growth

Partnership pitch decks

Two decks for approaching large industry partners, rebuilt around the client's own commercial argument rather than a generic feature list.

Marketing

An outreach playbook

For an expert witness firm: emails for each type of buyer, LinkedIn notes, a phone script, a voicemail under 20 seconds, follow-up rules, and the anti-spam rules that keep the firm's email out of junk folders.

Marketing

Explainer content that sells

Using our own trade operations experience, we wrote the pages that explain why a client's approach saves buyers money, plus a buyer's checklist for comparing vendors without naming competitors.

Risk

A claims audit

We went through every claim on a client's site and profiles and replaced the ones that could not be backed up with plain statements of what the firm actually does.

Operations

Email that reaches the inbox

A client's emails were landing in spam. We traced it to broken email authentication records, fixed them, and flagged a lookalike domain that could catch misdirected client email.

Operations

Build, buy or keep

We advised a client not to build e-signatures in-house, because signing needs a legally sound audit trail, and connected the tool they already had instead. Their practice and accounting software stayed too.

Finance

A billing reconciliation

When a client moved its billing history out of its old system, we matched every payment to its invoice, kept balances to the penny, and flagged the few that did not tie out for the owner to check.

Controls

Written procedures and a daily sign-off

We wrote down how the office runs, built a daily checklist that has to be signed off, and gave the team a plain-English guide so training no longer lives in one person's head.
